Bilingual Payroll Specialist
Location: Remote (Ontario-based preferred) | Salary Range: Starting from $75,000 (flexible based on experience) | Remote, occasional travel to head office | Full-time Permanent
Role Overview
Bilingual Staffing Solutions has partnered with a growing, multi-site retirement and long-term care organization operating communities across Ontario and Quebec to find their next Payroll Specialist. Reporting to the Team Lead, Payroll Operations, this role owns the accurate, timely processing of payroll for all employees — including benefits and pension enrollment, CBA-driven pay changes, and wage progressions. You'll validate payroll entries prior to commit, prepare payroll packages for sign-off, and serve as a key point of contact for operational sites and employees on pay-related inquiries.
Core Responsibilities
Payroll Processing
• Process new hires, terminations, and employee changes accurately and on time
• Commit payroll bi-weekly and prepare payroll package for sign-off
• Validate payroll entries for accuracy prior to commit
• Process statutory holiday payouts and monitor wage progressions per CBA schedules
• Enter CBA ratification wages and retro pay according to updated grids
Benefits & Pension Administration
• Enroll and exit members from benefits and pension plans independently
• Review system for enrollment errors and identify deductions not taken
• Remit payroll-related vendor payments and ensure timely payment to carriers and providers
• Prepare and review benefits remittances
Employee & Site Support
• Respond to employee inquiries regarding pay, benefits, and pension
• Respond to pay inquiries from operational leaders and site managers
• Resolve straightforward pay discrepancies independently; escalate complex issues to Team Lead
Year End & Cyclical
• Process vacation payouts and perform vacation balance validation
• Process year-end sick payouts
• Assist with year-end updates and filings as required
• Support system changes in conjunction with Team Lead
Required Experience
• Degree in Business, Accounting, Payroll, or a related field, or an equivalent combination of education and experience
• 3+ years of payroll processing experience, including year-end knowledge and support
• Currently enrolled in PCP Level 2 (Payroll Compliance Practitioner) and actively working toward completion, with job experience requirements fulfilled or in progress
• NPI (National Payroll Institute) membership or enrollment
• Working knowledge of payroll compliance fundamentals — CPP, EI, WSIB, EHT
• Advanced Microsoft Office skills, including lookups, references, text formulas, and mail merge
• Fully bilingual French / English, including payroll and benefits terminology in both languages
• Experience in a unionized payroll environment with CBA application is an asset
• Familiarity with enterprise HRIS platforms such as Dayforce or UKG Workforce is an asset
• Experience with benefits and pension enrollment and carrier administration is an asset
• Experience processing multi-site or multi-jurisdiction payroll is an asset
